This guide will help you organize and manage the communication of your editing team. It contains helpful tips and steps you can use to bring out the best in your editing team and make an awesome magazine together!

Reporting progress is an important part of any project. It ensures you stay on track and finish your project within the alloted time. However, sometimes reporting progress can be difficult if you don’t know where to start.

Once you’ve invited your editors and assigned pages to them, we recommend you take these steps to allow the creation of your magazine to go as smoothly and quickly as possible. These steps also make for a more cohesive magazine design as well as lessen the workload of the chief-editor(s) at the end.

1. Make sure everyone knows the deadline and the end result

Make sure everyone is aware of the deadline, before they get started on their pages. It’s important that you receive your magazine on time, so it’s important that your magazine is completed before the deadline.

We print twice a week, and the printing process for high quality custom magazines takes some time. We highly recommend entering a desired delivery date in your magazine settings (the deadline will be visible in page overview, ‘order no later than’ date) as well as the 'Deadline for handing in pages by the editors' (this deadline will only be shown to editors, 'hand in before' date). It’s also important that everyone knows what the end result will be. You’re making a magazine for a reason; a celebration, an event or a special day. If they get discouraged, remind your editors how wonderful it will be to have your very own self-made magazine. Tip: The deadline is important if you want to receive your magazine on time, make sure everyone knows when it is! Remind yourself that the magazine will be a great addition to any event or ocassion, happy customers agree.

2. Set a date to work on small tasks

For editors, being faced with a blank page can be overwhelming. Make it easier for them by giving them a specific day of the week (or month) to work on smaller tasks they can complete right away. Break large tasks up into smaller, manageable tasks. Give them steps they can follow to finish their page on time.

Here’s an example of 3 steps you can take to complete a page:

  1. Upload your images
  2. Choose a layout; pick one from the templates or create your own, check out our pinterest page for inspiration. Use different fonts, sizes, illustrations, graphics and shapes.
  3. Write some text. It doesn’t have to be long. It can be a short introduction, captions to the images, a short anecdote, a memory, a wish, or anything else that would fit in the magazine. To start, think about what the magazine is for, why you’ve been invited to work on it, who will read it and what your role is in the process.

Tip: Divide large tasks up into smaller ones. This makes it easier for your editors to complete tasks and report back to you on the progress they’ve made.

3. Appreciation goes a long way

Your editors are working hard, make sure they feel appreciated. People often underestimate the power of appreciation. Letting your editors know they are doing a good job and giving them some positive reinforcement will help them make beautiful additions to the magazine.

If they feel unsure or are lagging behind, don’t worry, help them assess what’s going wrong and help them get started. If they feel appreciated they are more likely to let you know when they need help. That way the magazine will be done on time.

Tip: Let your editors know you’re there to help and make them feel appreciated. This will make them feel more comfortable reporting progress (or difficulty to you) which means you have time to work on the magazine, and your appreciation of them will motivate them to make beautiful magazine pages.
